Sports Representative/Liaison Duties
There should be one representative from each sport “Booster” group that represents the interest s of that group.
Duties/Tasks:
1. Serve as the liaison between the booster group or coach and PAA (typically this is the Captain parent(s)). The Booster group must decide who this is and communicate that to the PAA.
2. Attend PAA monthly meetings (They may designate a backup)
If any parent or coach from an individual sport needs to purchase any equipment, uniforms, or supplies they must approach the “booster” group first. The booster group will “vote” on the request and if a favorable vote is reached the sports representative shall contact the PAA to distribute funds.
If funding is not available or if assistance is needed with funding then the Sports Representative shall approach the PAA. The PAA will then vote on the request and release funds from the PAA general account to the individual sport representative. No coach or parent, that is not the designated representative, shall approach the PAA for funds.
The PAA is not authorized to reallocate or spend any of the booster funds – it is the individual sport team’s funds and is under the control of the representative or treasurer from that particular sport. The PAA is just managing the funds in a 501(c) 3 account under a separate line item.
It is the responsibility of the booster group to vote on all spending of funds. Again, The PAA makes sure funds are exclusively available via the designated representative from that sport. Funds will be forwarded via PAA check directly to the representative (or a designated backup).
Please plan accordingly so funds may be distributed to your group in a timely manner.
