PAA Minutes March 6th, 2007

In attendance: Mike McCarron, Laura McCarron, Don DiFelice,  Elaine Poretta, Debbie Webster, Linda Bolla, Deb Stephenson, Ren'e Llorente, Janice Littrell, Kathleen Racki, Cindy Fitzgerald, and Mary Guilmet

1. Athletic Director's Report

2. Spring Program Books – Elaine Poretta and Renée Llorente will be chairing the PAA team program books. Books will be ready for distribution around mid-April. In order to make sure that all parents are aware of the Proud Parents Page fundraiser, an informational line will be provided in the program books on the bottom of the Proud Parents page directing parents to the PAA website where they can download a copy of the form. The AD will e-mail Janice Littrell with any coaching e-mail address updates.

3. Scholarship Committee – The PAA scholarship committee is now being formed to select this year's scholarship recipients. The PAA offers four $500 scholarships (2 boys and 2 girls) to graduating seniors. The deadline for candidates to submit their application is April 27th and the guidance department needs to be notified of the names of the recipients by May 10th. We currently have 3 members on the committee and would like to have 2 or 3 more people. Ideally, each town is represented on the committee and there are parents of both male and female athletes. If you are available to volunteer for this committee or would like additional information, please e-mail paa@pentucketathleticassn.org and you will be contacted by a committee member.

4. Treasurer's report. Current balance is $11,309.43 excluding additional deposits from the coke machines and basketball concession stand. Revenue from this year's basketball indoor concession stand was outstanding as both the boys and girls basketball teams had a lot of fan support. Deb Stephenson and Carol Jakobsons wish to thank all of the parents that volunteered their time to make this year a success. Our finances are in excellent shape. We will need to have a reserve of funds set aside to take care of a water problem at the football concession stand hut. A water pipe burst during the recent cold weather. The water department came to shut it off but the damage cannot be fully assessed until the ground thaws. It was suggested that a checklist of things to be done to open the shed as well as a checklist of things to be done to close up the shed for the season should be written up for the future.

5. Varsity Jackets – The committee has voted to update the current style of varsity jacket. The new jackets will be distributed to first time varsity athletes beginning in the Fall of 2007.

6. Board of Directors – The Annual Report was returned to the PAA because the Board of Directors list needed to be updated with current members (the list of Directors is several years old and many of their addresses are missing). Mike McCarron will update the list and re-submit the form.

7. New Business – Members of the soccer boosters asked if they could funnel a donation through the PAA so that their donor would be entitled to use our non-profit tax id number (the soccer booster do not have a non-profit tax id number). There would be no problem if they would like to do this. The funds that are donated to the soccer boosters would be designated back to their organization; they would need to fill out a donation form. Also, a parent of the ice hockey team inquired about using the PAA's tax id number in order to be exempt from sales tax for the purchase of a gift for their coach. This would not be possible as the PAA only has a 501(c) status and you must file separately with the state in order to be exempt from sales tax. It is very expensive to obtain this tax exempt status and has never been deemed necessary for our group to have this option.

8. New Officers – The PAA is still seeking a new chairperson for the 2007-2008 year. If you would be interested in volunteering, please e-mail the PAA at paa@pentucketathleticassn.org

Meeting adjourned at 8:15pm
